If more than one person works on a YouTube channel, sharing the primary Google Account password is the wrong workflow. YouTube’s channel permissions system lets creators assign role-based access without handing over the account itself.
Why channel permissions are safer
YouTube says channel permissions are safer than sharing passwords or other sign-in details because each collaborator uses their own Google Account and receives only the level of access they need.
Main YouTube channel roles
Current channel-permission roles include:
- Owner — broad control over the channel, including major management actions.
- Manager — can manage most channel operations but cannot delete the channel.
- Editor — can edit and publish content but has more limited administrative control.
- Editor (Limited) — similar to Editor but without access to revenue data.
- Viewer — read-focused access to channel information and analytics with limited operational control.
- Viewer (Limited) — similar to Viewer but without revenue data.
Use least-privilege access
Give collaborators the lowest role that still lets them do their job. A thumbnail designer may not need Manager access. An analytics contractor may need Viewer or Viewer (Limited) rather than publishing rights.
This reduces the damage that can happen if one collaborator’s account is compromised.
Channel permissions vs Brand Account roles
Brand Accounts can also have owners and managers, but YouTube recommends moving to channel permissions for more granular access control inside YouTube Studio.
When a Brand Account migrates to channel permissions, role management moves into YouTube Studio rather than relying only on the older Brand Account role model.
Important limitation for API workflows
YouTube notes that people invited through channel permissions can manage the channel through YouTube and YouTube Studio, but some channel-permission access does not extend to YouTube APIs. Teams using external publishing or analytics tools should test those workflows before removing older access arrangements.
Revenue visibility
Limited roles are useful when contractors or team members need to work on the channel without seeing monetization data. This is especially helpful for editors, moderators, agencies and freelance production staff.
Do not give Owner access casually
Owner-level access should be reserved for trusted people who genuinely need broad control. High-level roles can affect critical channel settings and should not be used simply because they are convenient.
How to add a collaborator
- Open YouTube Studio.
- Go to Settings.
- Select Permissions.
- Invite the collaborator’s Google Account email.
- Choose the appropriate role.
- Review the access list periodically and remove people who no longer need access.
Security checklist for teams
- Never share the primary owner password.
- Use 2-Step Verification on all team accounts.
- Assign the lowest practical permission level.
- Use Limited roles when revenue data is sensitive.
- Remove former staff and contractors immediately.
- Keep at least one trusted recovery path for the primary owner account.
